FULL TIME TRANSCRIBER POSITION (In House Team)
BASED IN LEIGHTON BUZZARD

We are looking for a capable audio typist to assist with the effective working of the business by providing transcription of mostly interview recordings, and secretarial support across a range of activities at our Leighton Buzzard office.

TERMS:
  • Salary:           £17,500 per annum
  • Contract:      Full time, 9am – 5pm Monday to Friday
  • Holiday:        4 weeks’ holiday plus bank holidays
  • Pension:       Workplace Pension
  • Location:      Based in Leighton Buzzard
PERSON SPECIFICATION:

The following skills and attributes are necessary:

  • Previous experience of office / administration duties.
  • Minimum of 5 GCSE’s (Grade A-C), one of which must be English Language.
  • Accurate word processing and audio typing speeds of not less than 55wpm.
  • Good grammar, punctuation, spelling and attention to detail.
  • Excellent IT skills, in particular, the use of Microsoft Word.
  • Ability to work under pressure
  • Effective communication skills, both verbal and written.
  • Ability to work collaboratively and as part of a team.
  • Ability to use own initiative when required.
  • Discretion, honesty, reliability and punctuality.
  • Flexibility plus a willingness to help wherever needed.
  • Trustworthy with confidential information and willing to enter into a Confidentiality Agreement subject to the provisions of the Official Secrets Act 1911 to 1989, and Security Clearance against records held with the Criminal Records Bureau in accordance with Part V of the Police Act of 1997.
RESPONSIBILITIES & DUTIES:
  1. This role involves mostly audio typing of vertaim interviews, dictation, focus groups and meetings.
  2. Establish and maintain efficient administrative systems and ensure the effective day to day running of the office.
  3. Provide secretarial and administrative support to Essential Secretary Ltd and its clients as necessary, including speedy and accurate audio typing.
  4. Undertake research using various media, on a daily basis, to complement the transcription provided.
  5. Develop and maintain excellent working relationships with relevant clients and other members of the team, providing support and assistance as required.
  6. File and maintain reference and archive systems.
  7. Respond to routine telephone enquiries, taking and writing down messages.
  8. Responsible for ensuring that office equipment used is safe and maintained in working order.
  9. As duties and responsibilities change, the job description will be reviewed and amended in consultation with the post holder.
  10. The post holder will carry out any other duties as are within the scope, spirit and purpose of the job as requested by their line manager.

PART TIME OFFICE ADMIN ASSISTANT
BASED IN LEIGHTON BUZZARD

We are looking for a capable office administrator to assist with the provision of an efficient, effective and professional support service to our transcription teams and sister company.  This role will be variable depending upon work stream / department.

TERMS:
  • Salary:           £17,500 per annum on a pro rata basis
  • Contract:      Part time, 10am – 2pm Monday to Friday
  • Holiday:        4 weeks’ holiday plus bank holidays
  • Pension:       Workplace Pension
  • Location:      Based in Leighton Buzzard
RESPONSIBILITIES:

Whilst the applicant will be employed by Essential Secretary Ltd, they will also be expected to offer support to our sister company (out of the same office), with various tasks and responsibilities as listed, but not limited to, below:

Main Company
  • Responsible for a range of administrative duties including management of workloads on a day by day basis for transcription teams, and being the key point of contact for both teams.
  • Tasks may include a range of general office duties such as sorting and distribution of post, answering the telephone, dealing with email correspondence, quotations, archiving etc.
  • Establish and maintain efficient administrative systems and ensure the effective day to day running of the office.
  • Provide secretarial and administrative support to the company and its clients as necessary, including proofing and editing of transcripts.
  • Develop and maintain excellent working relationships with relevant clients and other members of the team, providing support and assistance where required.
Sister Company
  • Provision of a telephone answering service by offering technical support and maintaining good customer relationships
  • Processing orders and maintaining good relationships with distribution buyers
  • Diary management of directors

Training will be provided in regards to all elements of responsibilities and duties.

REQUIREMENTS:
  • Accurate keyboard skills
  • Good grammar, punctuation, spelling and attention to detail
  • Confident telephone manner
  • Good knowledge of Microsoft packages
  • Previous experience of office / administrative duties
  • Understanding of accounts software Sage would be desirable, although not essential
